POsition descriptions
President
This officer directs all Executive Board members, oversees all organizational programs and activities, and directs the organization towards its goals. The President’s duties include reserving rooms for events and meetings, supporting recruitment activities, writing meeting agendas and organizing all Executive Board meetings, maintaining and responding to the club email, maintaining the Post-Graduate Advisory Group and listserv, maintaining the overall club listserv, staying in contact with the faculty advisor, liaising with ANS staff advisors, communicating with the Center for Student Involvement, running club general meetings, ensuring all resources for the general meeting are prepared, and any other logistical work necessary to ensure functioning of the club. The President unifies the diverse projects of the club, identifies areas for improvement and growth, and assists the Executive Board in preparing a timeline of events and goals for the upcoming academic quarter. The President ensures that Board members are on task and that the needs of the members are met. The President acts as the chief spokesperson and contact person for the club. The President is responsible for supporting and aiding all other Executive Board members. The President must ensure that the constitutional amendment requirement is met. Finally, the President is responsible for storing any club materials. To run for this position, you must have mentorship standing by the end of spring quarter of the year you are running and have been active for the two quarter before elections are held.
Vice president
This officer assists the President with their duties and leads the Executive Board and general meetings in the event that the President is absent. As such, all responsibilities listed for the President may be also placed upon the Vice President. The Vice President offers support to all officers as needed. The Vice President is responsible for keeping the club’s registration status updated with the appropriate campus organization(s). To run for this position, you must have mentorship standing by the end of spring quarter of the year you are running and have been active for the two quarter before elections are held.
Director of finance
This officer will be in charge of handling any transactions with club funds, including collecting club dues. This officer must maintain the club’s agency account along with all off-campus bank accounts. This officer must keep a record of all dues and other transactions that occur with club money. They must update the dues on the roster for active status records. This officer is responsible for creating any budgets deemed necessary by the President. The Director of Finance shall be asked to sign a contract at the start of their term that states any club money collected via personal means is property of the club and will not be used for personal use. To run for this position, you must have been active for the two quarter before elections are held.
Director of outreach
This officer is responsible for organizing recruitment of new members and eliciting the aid of other officers. This officer will plan and organize the other officers to help with the Involvement Fair, an important event for recruiting freshmen, and any other recruitment events. This officer is also responsible for maintaining the newsletter listserv and putting together bimonthly newsletters to keep club members informed about relevant campus events. This officer is in charge of advertising the newsletter to club members.
director of public relations
This officer provides a record of club events for the purpose of publicity. Event records can be textual or visual in nature, provided they are made public to the club. This officer is also responsible for maintaining social media accounts. This officer will work to design, order and distribute ASSMP-themed apparel for all club members.
webmaster
This officer creates and maintains the club’s website, and seeks to improve its resources and appeal to members. The Webmaster maintains a list of members and ensures its accessibility on the website. This officer also maintains the club’s online calendar, ensuring it is also accessible from the website. The Webmaster also offers technical support to other officers.
director of operations
This officer records minutes at meetings, takes attendance, and manages all documents arising from club affairs. The Director of Operations is in charge of maintaining a database of members, including documenting active status.
mentor representative
This officer will serve as a liaison between the club and students within their major. They will be responsible for planning one event each quarter directed at members of their respective majors. This officer is also responsible for taking on the role of the Director of Operations if necessary. This officer will work with the Director of Public Relations to design, order, and distribute ASSMP-themed apparel for all club members and ASSMP stoles for graduating seniors, should the Executive Board decide to pursue ordering such materials. There shall be two Mentor Representatives.
mentee representative
This officer is responsible for representing the mentee members and voicing any concerns to the board about the mentee experience. This officer is responsible for sending our feedback surveys to their peers. One Mentee Representative will be elected in the Spring and two shall be elected in the Fall. The Mentee Representative elected in the Spring will be responsible for recruiting their peers. There will be three Mentee Representatives. One shall be elected in the Spring and two shall be elected in the Fall.
post-graduate representative
This officer coordinates the post-graduate advisory group and maintains the post-grad listserv. This officer is responsible for helping to plan events between the post-graduate and undergraduate members.
